This Privacy Policy describes how Camp Planner (“we”, “us”, or “our”) treats sensitive user and device data in the Camp Planner Android application (the “App”).

We take your privacy seriously. The App is designed with a privacy-first approach, meaning your data is stored locally on your device and encrypted for your security.


1. Data Collection and Usage

A. Personal and Sensitive User Data

The App allows you to input and manage camp planning information, including:

  • Roster information (names, ranks, and leadership roles of participants).
  • Event details (campout dates, locations, menus, schedules, and duties).
  • Financial details (expenses and expense assignments to participants).
  • Profile photos/avatars for participants.

How we treat this data:

  • Local Storage Only: All of the planning, roster, and financial data you enter is stored locally on your device inside a private SQLite database.
  • No Server Uploads: We do not transmit, upload, or sync your camp planning data to any external servers, databases, or cloud services controlled by us.

B. Device Permissions

The App requests specific device permissions to enable core features:

  • Camera / Photos / Storage Access: Used to allow you to take or select a photo to crop and use as a participant’s profile avatar. Photos are processed and stored locally on your device.
  • Internet Permission: Used to support optional Firebase diagnostics (if enabled) and external links (such as viewing Open Source Licenses).

2. Data Security & Encryption

To protect your sensitive planning and roster data from unauthorized access on your device, the App employs advanced security measures:

  • SQLCipher Database Encryption: The local database is encrypted using industry-standard AES-256 encryption via SQLCipher.
  • Android Keystore System: The encryption key is randomly generated on installation and stored securely using Jetpack EncryptedSharedPreferences, which leverages the Android Keystore system. The key remains hardware-backed on supported devices and cannot be extracted.

3. Third-Party Services & Analytics

The App integrates the following third-party developer services:

  • Firebase Crashlytics & Google Analytics: If configured and active, these services collect anonymous, non-personally identifiable diagnostic information when the App crashes or during usage. This data includes device models, operating system versions, and crash logs. We use this information solely to debug application failures and improve stability.
  • Google Play Services (OSS Licenses): Used to retrieve and display open-source licenses. No user data is transmitted.

4. Data Sharing and Disclosure

  • No Data Selling: We do not sell, trade, rent, or share any user or device data with third parties.
  • User-Initiated Backup & Export: The App provides a manual data backup feature (JSON export). Any exported backup file is saved to the destination you choose (such as local storage, Google Drive, or email). You are solely responsible for securing these exported backup files.

5. Data Retention and Deletion

  • Because all data is stored locally on your device, you have complete control over its retention.
  • Deleting the App or clearing its storage cache via your Android system settings will permanently delete all data, profiles, and settings associated with the App. This action cannot be undone unless you have previously exported a manual JSON backup.

6. Children’s Privacy

The App is designed to help scouts and outdoor groups organize activities. While children may use the App or have their names entered into the local roster by parents/leaders:

  • We do not collect or transmit children’s personal information over the internet.
  • All entered information remains strictly on the local device, secured by local encryption.

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Any changes will be reflected by updating the “Last Updated” date at the top of this document. We encourage you to review this policy periodically.
